5. MARKETING

We may contact existing or prospective business customers about Rabsec products, services, training, events, promotions and other information that we reasonably believe may be relevant to their business.

Where consent is legally required, we will obtain it before sending marketing communications. Where the law permits us to rely upon legitimate interests or another lawful basis for business-to-business marketing, we may do so while respecting your right to object.

You can stop receiving marketing communications from Rabsec at any time by using the unsubscribe option provided in a marketing communication or contacting hello@rabsec.co.uk.

Opting out of marketing will not prevent us from sending necessary transactional or service communications relating to your account, orders, payments, deliveries or support requests.

You have the right to object at any time to the use of your personal information for direct marketing.

6. PAYMENT AND FINANCE PROVIDERS

Rabsec may use third-party providers to process payments or provide payment and finance options.

Depending on the payment method selected, information may be shared with or collected directly by the relevant provider.

This may include providers such as Square for card or online payment processing and iwocaPay where a customer chooses an available business-payment or finance option.

These providers may act as independent data controllers for some of their processing and will have their own privacy policies explaining how they use personal information.

Rabsec does not need to retain full payment-card details where those details are processed directly by an authorised payment provider.

7. OUR BUSINESS SYSTEMS

Rabsec uses third-party technology providers to operate our business. This includes systems used for ecommerce, customer accounts, quotations and sales orders, accounting and invoicing, customer communications, website hosting, payment processing, automation, technical infrastructure and data storage.

For example, Rabsec uses Zoho services for parts of its ecommerce, customer-account and business-management systems.

We only provide service providers with information reasonably necessary for the services they provide and expect appropriate contractual and security protections to be in place.

8. WHO WE MAY SHARE YOUR INFORMATION WITH

We do not sell your personal information.

Where necessary, we may share appropriate information with payment processors; finance providers; couriers and delivery companies; manufacturers, distributors and suppliers; IT, hosting and cloud-service providers; ecommerce and business-management system providers; technical-support providers; accountants and auditors; banks and financial institutions; insurers; legal and professional advisers; fraud-prevention or credit-reference services where appropriate; HM Revenue & Customs; regulators, courts, law-enforcement bodies and other authorities where required by law.

We may also disclose information as part of a sale, acquisition, restructuring or transfer of all or part of our business, subject to appropriate safeguards.

Where another organisation processes personal information on our behalf, we require it to handle that information appropriately and in accordance with applicable data protection requirements.

9. INTERNATIONAL TRANSFERS

Some of the technology, cloud, payment or other service providers used by Rabsec may process or store personal information outside the United Kingdom.

Where personal information is transferred internationally, we will take appropriate steps to ensure the transfer complies with UK data protection law.

Depending on the circumstances, this may include reliance upon UK adequacy regulations or appropriate contractual safeguards, such as the UK International Data Transfer Agreement or UK Addendum, where applicable.

Where required, you may contact us for further information about safeguards relating to an international transfer of your personal information.

10. REMOTE TECHNICAL SUPPORT

Where Rabsec provides remote technical support, you may choose to provide us with temporary access to equipment, software, computers or networks.

We will use that access only for legitimate support purposes connected with the assistance requested.

Customers requesting remote support are responsible for ensuring that they have authority to grant Rabsec access to the relevant equipment, system or information.

Where possible, access should be limited to what is reasonably necessary for the support task.

Rabsec will take reasonable steps to protect information encountered while providing remote technical support.

11. DATA SECURITY

We take reasonable technical and organisational measures to protect personal information against accidental or unlawful loss, alteration, disclosure, misuse or unauthorised access.

Access to personal information is restricted to people and service providers who have an appropriate business need for access.

Where a personal-data breach occurs, we will assess the incident and notify affected individuals and/or the Information Commissioner's Office where we are legally required to do so.

12. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to satisfy legal, accounting, tax, contractual and reporting requirements.

Different categories of information may therefore be retained for different periods. For example, transaction and accounting records may need to be retained for periods required by UK tax and accounting legislation.

When deciding how long to retain other information, we consider why we collected it, whether we continue to have a legitimate business need for it, legal or regulatory requirements, contractual or warranty requirements, the sensitivity of the information, and the potential risk associated with retaining it.

Information that is no longer required will be deleted, anonymised or otherwise securely disposed of where appropriate.

13. COOKIES

Our website may use cookies and similar technologies to operate essential website functions, maintain sessions, understand website usage and, where applicable, support analytics or marketing.

Some cookies are necessary for the website to function correctly.

Where consent is required for non-essential cookies, we will request that consent as appropriate.

You can also control cookies through your browser settings, although disabling certain cookies may affect website functionality.

Further information is available in our Cookie Policy.

14. AUTOMATION AND AUTOMATED DECISION-MAKING

Rabsec uses software and automated workflows to help operate our business efficiently. For example, automated systems may be used to process website orders, generate documents, send transactional communications, update order or payment information, manage website functionality and connect different business systems.

The use of automation does not necessarily constitute automated decision-making under data protection law.

Rabsec does not currently intend to make decisions based solely on automated processing that produce legal or similarly significant effects on individuals.

If this changes, we will update this Privacy Policy and provide the information required by applicable data protection law.

15. IF YOU DO NOT PROVIDE INFORMATION

In some circumstances, we need certain information to enter into or perform a contract or to comply with legal requirements.

For example, we require sufficient contact and delivery information to process and deliver an order.

If required information is not provided, we may be unable to open an account, process an order, provide a service or fulfil another request.

We will explain where information is required when appropriate.

16. THIRD-PARTY LINKS

Our website may contain links to websites or services operated by third parties.

Rabsec does not control those third-party websites and is not responsible for their privacy practices.

We recommend reviewing the privacy information provided by a third party before providing personal information through its website or service.

17. YOUR DATA PROTECTION RIGHTS

Depending upon the circumstances and the lawful basis on which we process your information, UK data protection law may give you the following rights.

Right of Access: you may request confirmation that we process your personal information and request a copy of personal information we hold about you.

Right to Rectification: you may ask us to correct inaccurate personal information or complete information that is incomplete.

Right to Erasure: in certain circumstances, you may ask us to delete your personal information. This right is not absolute and we may need to retain information where we have a legal or other lawful reason for doing so.

Right to Restrict Processing: in certain circumstances, you may ask us to restrict the way we process your personal information.

Right to Object: you may object to processing based upon legitimate interests in certain circumstances. You have an absolute right to object to the processing of your personal information for direct marketing purposes.

Right to Data Portability: in certain circumstances, you may request personal information you have provided to us in a structured, commonly used and machine-readable format or request that it is transferred to another organisation.

Right to Withdraw Consent: where processing is based upon your consent, you may withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing carried out before consent was withdrawn.

18. MAKING A DATA PROTECTION REQUEST

To exercise a data protection right or ask a question about how Rabsec uses your information, contact Meine Investments Limited trading as Rabsec, 2 St Edwin Reach, Doncaster, DN7 4FD, United Kingdom. Email: hello@rabsec.co.uk. Telephone: 01302 358179.

We may need to request information to verify your identity before responding to a request. This helps ensure personal information is not disclosed to someone who is not entitled to receive it.

We will respond to valid requests within the timescales required by applicable data protection law.

You will not normally be charged for exercising your data protection rights. However, the law permits organisations to deal differently with certain requests in limited circumstances, for example where a request is manifestly unfounded or excessive.

19. COMPLAINTS

If you have concerns about the way Rabsec has handled your personal information, please contact us first so that we can investigate.

You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

Nothing in this Privacy Policy affects your right to make a complaint to the ICO.

20. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes to our business, website, systems, service providers or legal requirements.

The latest version will be published on our website together with the date it was last updated.
